Problem Information on paper and in Excel; common questions repeatedly put to a few colleagues
Work ran on paper and Excel; common questions kept going to the same few colleagues, and were limited to duty-shift hours.
Approach and role Cards, triggered replies and form entry; authorization checked before replying
Integrates LINE cards, triggered replies, internal operating knowledge and tool lookups. HR can trigger an onboarding form flow; after an employee fills it in, the data is written back to the database, reducing repeated entry and replies.
Authorization: when an employee invokes a feature in LINE, authorization is checked first. An API is called to look up the record, and only after confirming an authorized employee are operating guidance or lookup results provided; employee identity is recognized through LINE identity mapping.
Role: taken over from a prototype; completed data integration, LINE identity mapping and push notifications. Features after takeover were completed 2026.02, with continued upgrades and fine-tuning in 2026.03–04. GPS location messages are not computed here; the messages are forwarded directly to the Cross-Venue Workforce Scheduling System.
Use cases Questions, cards and clock-in by location message
- Questions: employees call the helper in LINE and ask a question to get operating guidance or tool lookup results.
- Cards and triggered replies: fixed information is obtained through LINE OA card options and trigger words.
- Clock-in: employees send a LINE location message, which is forwarded to the Cross-Venue Workforce Scheduling System.
LINE integration The official account is the entry point; identity and authorization mapped through LINE
The entry point is the company's LINE official account: cards, triggered replies and form entry all live in LINE; employee identity is mapped from the LINE identity and authorization is checked before replying; location messages are handed to the workforce scheduling system for clock-in.
Impact Fewer repeated questions and less manual entry
Fewer repeated questions and less manual entry; questions needing further confirmation are passed to the responsible colleague.
